1. Introduction
R-Casting is a casting platform that showcases creative projects and runs casting calls across the region, including Lebanon, the Kingdom of Saudi Arabia (KSA), and the United Arab Emirates (UAE). Talent and applicants can browse open casting calls and apply online by completing an application form and uploading photos and/or videos.
This Policy applies to all visitors and applicants of the Site. It describes the categories of information we handle, why we handle it, the limited circumstances in which it is shared, and the choices and rights available to you. It does not apply to third-party websites we link to, which are governed by their own privacy policies.
2. Information We Collect
Information you provide when you apply
Our casting application forms are dynamic, so the exact fields vary by casting call. Depending on the role, we may ask you to provide:
- Identity & contact details — first and last name, email address, and phone number.
- Demographic & eligibility details — date of birth and/or age, gender, nationality, country of residence, and passport availability.
- Physical & talent attributes — height, weight, clothing/shirt and pants sizes, spoken languages, voice-over ability, profession, and a free-text description about yourself.
- Social profiles — your Instagram (or similar) handle, when requested.
- Media uploads — photographs and/or video clips (such as headshots, full-body shots, self-tapes, or showreels) that you upload as part of your application.
- Casting-call selection — the specific casting call and segment (for example, an age- or country-based segment) you choose to apply for.
Some of this information — for example images, video, nationality, or age — may be considered sensitive in your jurisdiction. You provide it voluntarily for the purpose of being considered for casting opportunities.
Information you provide when you contact us
If you use our contact form or email us, we collect your name, email address, the subject/title, and the contents of your message so we can respond.
Information collected automatically
When you use the Site, our servers and request logs automatically record technical information such as your IP address, browser type, the pages you request, and the date and time of your requests. We use this information to operate the Site, keep it secure, diagnose problems, and prevent abuse.
Reference numbers
When you submit an application we generate a unique reference number so you and our team can identify your submission. Keep it for your records.
3. How We Use Information
We use the information we collect to:
- Receive, review, and manage your casting-call application and contact you about it.
- Assess your suitability for a role and share relevant details with the casting team and authorised directors (see “Data Sharing & Disclosure”).
- Respond to your enquiries and provide support.
- Operate, maintain, secure, and improve the Site and our application process.
- Detect, prevent, and investigate fraud, abuse, and security incidents, and debug technical issues using our logs.
- Comply with legal obligations and enforce our terms.
We rely on your consent (which you give by submitting an application), our legitimate interest in running a casting business, and, where applicable, the steps necessary to consider you for a role, as the bases for this processing.
4. Marketing & Campaign Emails
If you have registered an account and confirmed your email address, we may send you occasional campaign emails — such as casting-call invitations, profile-completion reminders, and platform announcements — to keep you informed about opportunities relevant to you. These are separate from essential service messages (such as email-verification codes and application correspondence), which we send so the Site can function.
We send campaign email through a reputable email delivery provider (Amazon SES). Our lawful bases are your consent (given when you register) and our legitimate interest in operating a casting business; we only target registered, email-verified users and never purchase, rent, or scrape lists.
You can opt out at any time. Every campaign email includes a one-click “Unsubscribe” link in its footer and a List-Unsubscribe header supported by common mail clients. When you unsubscribe, we add your address to a suppression list that excludes it from all future campaigns. We add an address to the same suppression list automatically if it permanently fails to deliver (a “hard bounce”) or if the recipient reports a campaign email as spam. You may also ask us to stop by contacting us using the details in “Contact Information”. Opting out of campaigns does not stop essential service messages.
Measurement in campaign emails. So we can tell whether our campaigns are useful, campaign emails contain a small, invisible image (a “tracking pixel”) that tells us when the email was opened, and links in them are routed through our own redirect so we can count clicks. We use this only in aggregate, to judge whether a campaign was relevant; we do not use it to build advertising profiles. If you would rather not be measured this way, unsubscribe using the link in any campaign email, or block remote images in your mail client — the email will still display and remain readable.
6. Third-Party Services
We use a limited set of third-party services to deliver the Site. When these load or you interact with them, the relevant provider may receive technical data (such as your IP address) and apply its own privacy policy:
- Hosting & storage — our hosting provider stores the Site, the application database, and uploaded media.
- Email delivery — we send and receive email (for application and contact correspondence) through an email service.
- Embedded maps — our Contact page embeds a Google Maps frame to show our location.
- Video & media — we may embed or integrate video services (such as Vimeo) to display showreels and project media.
- Content delivery networks — some scripts, styles, and fonts are served from public CDNs to load the Site faster.
- Social media — we link to our profiles (such as Instagram, Facebook, Vimeo, and X/Twitter); visiting them is subject to those platforms’ policies.
We do not control, and are not responsible for, the privacy practices of these third parties. Please review their policies for details.
7. Data Sharing & Disclosure
We do not sell your personal information. We share it only as needed to run our casting process and operate the Site:
- Internal casting team & authorised directors — application details and media are accessible to our staff and to directors who have been granted access to a specific casting call, so they can evaluate applicants. Access is role-based and limited to the fields and media relevant to that role.
- Service providers — the hosting, storage, and email providers described above, who process data on our behalf.
- Production partners & clients — where a casting call is run for a specific production, shortlisted applicants’ details may be shared with the relevant production or client for the purpose of casting.
- Legal & safety — where required by law, legal process, or to protect the rights, safety, and property of R-Casting, our users, or others.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.
8. Data Retention
We keep application data — including uploaded photos and videos — for as long as necessary to evaluate applicants, build and maintain a talent pool for current and future casting opportunities, and meet our legal and operational needs. Contact-form messages are kept for as long as needed to handle your enquiry and our records.
When information is no longer needed, we delete it or anonymise it. You may ask us to delete your application and media sooner (see “Your Rights”); we will honour such requests unless we are required to retain the information for legitimate or legal reasons.
9. Your Rights
Subject to applicable law, you may have the right to:
- access a copy of the personal information we hold about you;
- rectify inaccurate or incomplete information;
- request deletion of your application, media, or other personal information;
- object to or ask us to restrict certain processing;
- withdraw consent at any time, including unsubscribing from campaign emails (see “Marketing & Campaign Emails”).
To exercise any of these rights, contact us using the details in “Contact Information” and include your application reference number where possible. We may need to verify your identity before acting on your request.
10. Data Security
We take reasonable technical and organisational measures to protect your information. Uploads are tied to a per-session upload token and verified before an application is finalised, access to applications in our content-management system is restricted to authenticated administrators and authorised directors, and we monitor and log activity to detect and respond to issues.
No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please protect your account credentials and your application reference number, and contact us promptly if you believe your information has been compromised.
11. Children’s Privacy
Some casting calls are open to minors and may include age-based segments. Where an application is for a person under the age of 18 (or the age of majority in the applicant’s jurisdiction), it must be submitted and managed by a parent or legal guardian, who is responsible for the information and media provided and consents to our processing of it for casting purposes.
We do not knowingly collect information from a child without such involvement. If you believe a child’s information has been provided without the appropriate consent, contact us and we will take steps to delete it.
12. International Data Transfers
We operate across multiple countries (including Lebanon, KSA, and the UAE), and our hosting and service providers may process and store information in countries other than the one in which you live. Those countries may have data-protection laws that differ from yours. Where we transfer information internationally, we take steps to ensure it remains protected consistently with this Policy.
13. Changes to This Privacy Policy
We may update this Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we do, we will revise the “Last updated” date above and post the new version on this page. Significant changes may be communicated more prominently. Your continued use of the Site after an update means you accept the revised Policy.
